How to Invite Collaborators to Your Brand in Visibot

This guide will walk you through the process of inviting collaborators to work on your brand in Visibot. Collaborators can access and work on the brand alongside you.

Prerequisites

Before you can invite collaborators, make sure:

  • You are the owner of the brand (you created it)
  • Your subscription plan includes the collaborator feature
  • The person you're inviting does not already have a Visibot account (only new users can be invited as collaborators)

Step 1: Navigate to Your Brands

  1. Log in to your Visibot account
  2. Look for the "Manage" section in the left sidebar navigation
  3. Click on "Brands" (it has a storefront icon)
  4. You'll see a list of all your brands

Step 2: Open the Brand You Want to Share

  1. Find the brand you want to invite collaborators to
  2. Click on the brand name or the edit icon to open the Edit Brand screen
  3. You'll see the brand details page with the brand name and description

Step 3: Invite a Collaborator

  1. At the top of the Edit Brand screen, look for the "Invite Collaborator" button (it has a user-plus icon)
  2. Click the "Invite Collaborator" button
  3. A popup window will appear asking for the collaborator's information

Step 4: Enter Collaborator Details

  1. In the "Collaborator Email" field, type the email address of the person you want to invite
  2. Important: This must be someone who does NOT already have a Visibot account
  3. Make sure the email address is correct, as the login credentials will be sent to this address
  4. Click the submit button to send the invitation

Step 5: Confirmation

  1. After clicking submit, you'll see a success notification that says "Successfully invited [email] to collaborate on this brand"
  2. The system automatically creates an account for the new collaborator
  3. An email will be sent to the collaborator with their login credentials

What Happens Next?

For the Collaborator:

  1. The invited person will receive an email titled "Account Details for Visibot"
  2. The email contains:
    • Their login email address
    • A temporary password
    • A link to the Visibot dashboard
  3. They should save this email for future reference
  4. They can click the "Dashboard Login" button in the email to access Visibot
  5. Once logged in, they will see the shared brand in their Brands list
  6. Recommendation: They should change their password after first login for security

For You (the Brand Owner):

  • The collaborator will have access to work on your brand
  • You can manage all collaborators at any time (see below)

Managing Your Collaborators

Viewing Current Collaborators

  1. On the Edit Brand screen, click the "Manage Collaborators" button (it has a users icon)
  2. A slide-out panel will open showing all current collaborators
  3. For each collaborator, you'll see:
    • Their name
    • Their email address
    • When they were invited
    • An option to remove them

Removing a Collaborator

  1. In the Manage Collaborators panel, find the collaborator you want to remove
  2. Click the "Remove" button next to their name (in red text)
  3. A confirmation dialog will appear asking "Are you sure you want to remove this collaborator?"
  4. Click "Confirm" to remove them
  5. You'll see a success notification confirming the removal
  6. The collaborator will no longer have access to this brand

Important Notes

Email Restrictions:

  • You can only invite people who don't have a Visibot account yet
  • If you try to invite someone with an existing account, you'll see an error message: "Cannot invite a user who already has an account. Only new users can be invited as collaborators"

Brand Access:

  • Only the brand owner can invite and manage collaborators
  • If you're a collaborator on someone else's brand, you won't see the "Invite Collaborator" button

Multiple Collaborators:

  • You can invite as many collaborators as your subscription plan allows
  • Each collaborator receives their own individual account with unique login credentials

Account Security:

  • Advise your collaborators to change their password after their first login
  • They can do this in their account settings

Troubleshooting

"I don't see the Invite Collaborator button"

  • Check that you're the owner of the brand (not a collaborator yourself)
  • Verify that your subscription plan includes the collaborator feature
  • If still not visible, contact support

"The invitation failed"

  • Verify the email address is correct
  • Make sure the person doesn't already have a Visibot account
  • Check your internet connection and try again
  • If the issue persists, contact support

"The collaborator didn't receive the email"

  • Ask them to check their spam/junk folder
  • Verify the email address was entered correctly
  • The email may take a few minutes to arrive
  • You can try removing and re-inviting them if needed
